Because most service organizations are losing valuable volunteer time to record keeping, ES&P has designed a database specifically for community service organizations.
SCAMP© has been created using a modular design so each organization can select the modules to meet their specific needs.
SCAMP© is available as a:
Stand alone version (for use on a single computer)
Office network version (for use on a private network)
Hosted version (utilizes a remote server)
Member contains the standard demographic information of name, address, city, state, zip code, phone number(s), e-mail address(es), birth date, date of death, committee assignments, offices held, primary language, profession/occupation, gender, and method of contact. The design allows the keeping of data for members having multiple phone numbers, mailing addresses, e-mail addresses, membership, committee assignments, and board responsibilities. The ability to view or print a member's profile is in the Reports Module.
Administration adds new boards, committees, professions, languages, or clubs to the database. ONLY top level staff and/or ES&P's staff will have access to this module.
Assignment used to assign members to an organization. It is here that secretaries will record the assignment of members to committees, offices or governing boards.
Attendance tracks and records individual attendance at meetings, as well as make-up attendance at projects, fund raisers, inter-clubs, and committee meetings. Individual member attendance can be tracked as well as the overall attendance of a organization. Compiled data from this module becomes part of the monthly report. The attendance module utilizes alternative school attendance back-fill technology. This is the process that allows the module to automatically credit make-ups within the organization's guidelines.
Dues tracks the status of individual's dues and reports can be generated for use by both the secretary and the treasurer
History can be used to keep a record of the major events, honors, etc., that occur during any given year at any level.
Honors and Awards this module will be dynamic. It is very likely that more data will be stored for this module than any other module in the data base. Because organization awards consist of a wide variety, care must be given to the naming of awards to ensure consistency.
Log-in There are three levels of log-in control.
Level 1 allows access to the reports module and to create or edit access to all other modules except the administration module.
Level 2 access limits the user to the reports module only with the long range goal of being able to edit their own personal information. The reports may be seen on screen, printed, or saved as a comma separated values (CSV) file.
Level 3 access opens the entire program to the user. The default is access denied.
Log-in is normally utilized where access to data is a concern.
Organizations The term "organization" as used in SCAMP refers to a District, a Division, a Club, any governing board, and any committee regardless of level. This module is where "organizations" are created, changed, or deleted. It also contains all the data about an organization such as name, charter date, and year of operation.
Registration Initially the secretary, and ultimately a member, will use this module to register for an event such as Mid-Year or annual convention. The module will allow for the pre-filling of forms with member demographics by drawing the data from the database using either the member's ID number or last name. There are several issues to be settled before this module is ready. The payment of fees and how they are to be handled is probably the most important. Hotel registration may become part of this module. Reports will be available of registration counts by organization(s) and totals. The reports will include both member and non-member data.
Reports the most commonly used section in most databases. This module will provide information about members, spouses, assignments, addresses, attendance, activities, and membership or a combination of the data elements. For example, the Monthly Report is a combination of a membership report, an attendance report, and an activity report. Reports can be generated to be viewed on screen, printed, or saved as a CSV file. Reports with the same name may apply to several levels. For example, the Monthly Report for an organization will be a compilation of reports from committee chairpersons, plus attendance summary data.
Spouse or Significant Other contains all the standard demographic information of name, address, city, state, zip code, phone number(s), e-mail address(es), birth date, date of death, primary language, profession/occupation, gender, and primary method of contact, including the couples anniversary date.
